Who it's for
Multi-site front desk and visitor management for property owners and managers
For a property owner or a property manager, multi-site front desk management rests on a single console that organises your organisation, buildings and front desks into a hierarchy; on the standards large organisations expect (SSO, SCIM, API); on one licence per building; and on hosting you stay in control of: SaaS in France or elsewhere in Europe, or an appliance installed in the building.
How do you run the front desks of dozens of buildings from a single console?
A property portfolio is not a collection of isolated sites. SmartCraft Building models your scope in levels: organisation, sites, buildings, front desks. Settings defined at the top of the hierarchy are inherited by each building, which can adjust them locally.
- Templates per site: invitations, badges, notifications and safety rules.
- Opening hours, public holidays and exceptional closures specific to each building.
- Custom fields per site and per visit type.
- Visual branding: logo, colours, and a dedicated domain name for emails and the kiosk.
- Multi-site consolidation of KPIs: visitors, parcels, loans, by period, by site or by front desk.
- Administration log: every settings change is recorded.
Design target: bring a new site on board in less than a day, including directory import, templates and training.
Which identity and integration standards are supported?
The principle is that the front desk never re-enters anything: appointments come from calendars, people from the directory, door openings from the systems already in place.
| Need | Standard or system | Use |
|---|---|---|
| Single sign-on | SAML 2.0, OpenID Connect, multi-factor authentication | Agents and hosts sign in with their company account |
| Provisioning | SCIM 2.0, Entra ID, LDAP, Google Workspace | Accounts created automatically, and deactivated when an employee leaves |
| Calendars | Microsoft 365, Google Workspace | The visitor is registered from the meeting invitation |
| Access control | Salto, Nedap, Gallagher, Paxton, Hikvision | A temporary access right is created for the visitor, without replacing the readers |
| Messaging | Teams, Slack | The host is notified when their visitor arrives |
| Ticketing | ServiceNow, Jira Service Management | A request or an incident is created |
| Custom exchanges | REST API documented in OpenAPI 3, webhooks | Visitor arrived or left, parcel received, loan overdue, evacuation triggered |
SSO, SCIM, enhanced audit and the full API are part of the Security and enterprise tier.
How is licensing counted across a portfolio?
One licence per building, that is, per postal address. Several front desk stations in the same building count as a single licence. No fees per visitor or per agent; annual commitment.
| Tier | Who it’s for | Price |
|---|---|---|
| Essential | A building that wants to leave paper behind | Public at launch |
| Premium | Sites that welcome a lot of visitors: QR code, kiosk, SMS, Teams, evacuation mode | Public at launch |
| Security and enterprise | Sensitive sites, multi-site portfolios, stronger security requirements | On quotation |
Additional kiosks, badge printers, SMS packs, on-site installation and the appliance are options. The market overview notes that pricing becomes opaque as soon as you go beyond a small site: a per-building price lets you cost a whole portfolio by simple multiplication. Full details: pricing tiers.
Multi-tenant buildings: who sees what?
In a shared building, each tenant sees only their own visitors, parcels and reports. The predefined roles (agent, supervisor, host, security, DPO, administrator) can be supplemented with custom roles, with fine-grained permissions per module and per site: read, create, edit, export, delete.
The property manager keeps the overall view; the tenant sees their own activity; the front desk agent, often employed by a service provider, does the data entry at the desk. If your front desk is run by a service provider, see also our page for hospitality management providers.
SaaS in France or Europe, or an appliance: how do you choose?
It is the same application either way: same screens, same features, same connectors. The mode is chosen per site.
| Criterion | SaaS | On-premises appliance |
|---|---|---|
| Where the data lives | France, or another European Union country | In your building, which it never leaves |
| Installation | None: a web browser is enough | A server delivered ready to plug into your network |
| Updates and maintenance | Continuous, taken care of | Handled by us |
| Typical cases | Head offices, office buildings | Sensitive sites: critical operators, defence, healthcare |
A head office can therefore run on SaaS while a sensitive site in the same portfolio runs on an appliance. See the deployment section.
What security and compliance requirements apply?
Large organisations require SSO, encryption, European hosting and traceability. The product specification sets out, among other things:
- encryption of data in transit (TLS 1.2 minimum, 1.3 recommended) and at rest (AES-256);
- strict separation between customers, verified by automated tests;
- a tamper-proof audit trail: who viewed, changed or exported what, and when;
- encrypted daily backups and regular restore tests;
- GDPR: retention periods per data type, automatic and logged purge, pseudonymisation of past visits, listed subprocessors and no transfer outside the European Union;
- reversibility: full data export.
The details on visit data are in our guide to the visitor log and the GDPR.
SmartCraft Building is in its launch phase: these points are design requirements, which we go through one by one with your security teams and your DPO.
What about the tenant app?
SmartCraft Building is not one, and does not try to be. Tenant experience platforms cover mobile badges, space booking and building services; the front desk is one module among many. SmartCraft Building equips the front desk itself: visitors, mail and parcels, loans, the desk logbook, shift handover, safety and service KPIs. Meeting room and desk booking are not part of the first version. To see how the two approaches compare: front desk management market overview.
How do you evaluate the solution on your portfolio?
Pick a representative building, ideally one with several front desks or several tenants, and let’s look together at your flows, your directory, your access control and your hosting requirements. The timings highlighted on this site, such as the list of people on site being available in 10 seconds during an evacuation, are design targets, to be measured with the first pilot sites.
